MEMBER SERVICES COORDINATOR

A Member Service Coordinator must be ready and able to address inquiries and concerns from members relating to billing, payments, delinquencies, terminations, memberships and Capital Credits as they arise.  This person must have a strong sense of professionalism and discretion.  The position requires strong communications, decision-making and telephone etiquette skills.  Must possess outstanding customer service skills and ability to work within a team environment.  Job involves extensive phone and computer work and requires ability to hear and speak.   The Member Service Coordinator will be required to develop a comprehensive understanding of the Coop’s policies and procedures and know when issues need to be escalated to the management for resolution.

  Requires a high school diploma and must be proficient in Microsoft Office Suite and must be able to use a 10-key adding machine by touch.  Performs a variety of tasks.  Works under general supervision.  Reports to Manager of Office Services.

JOB DUTIES

  1. POST PAYMENTS

         Posts member payments received daily, balances cash drawer and prepares deposit for bank.

  1. TEAMWORK

         Work as a team with other Coop Employees to resolve member issues as they arise.  Work with other departments to ensure that all member-related tasks are completed to Coop standards and always keep the members needs in mind.

  1. CUSTOMER SERVICE

 Possess great customer service skills to assist members with payments, outages, and other services needed.  Answer phone and radio calls and maintain a calm demeanor when communicating with displeased members.  Must be knowledgeable about Coop policies and procedures to know when members need to be passed on to management.

  1. SERVICE ORDERS

        Create and close service orders as needed, providing as much information as possible in the service order to make sure
       
all work can be completed accurately.

     5. CAPITAL CREDITS

Process allocations, estates, retirements and re-issues checks as necessary.

  1. MISCELLANEOUS

          Perform any other duties as required.

EXECUTIVE ASSISTANT

  1. OBJECTIVE
    1. To aid and assist the Manager of Administrative Services, CEO, and Board of Directors by providing confidential and other staff services that will, through fair and courteous treatment, maximum competence, and quality in job performance, contribute to their efforts in attaining the Cooperative’s objectives.
       
    1. To create an avenue for the smooth flow of information between the CEO, Manager of Administrative Services, Board of Directors, Department Managers and other supervisory personnel.
       
    1. To provide maximum aid to the members, Board of Directors, general public,
      suppliers, personnel and associated organizations, in obtaining and coordinating proper information from and to the Cooperative.

 

  1. REPORTING RELATIONSHIPS

Reports to:  Manager of Administrative Services

Directs:  None

 

  1. RESPONSIBILITIES AND AUTHORITIES
        1. Assists the Manager of Administrative Services and CEO in scheduling their routine work with special work programs resulting in all work being performed as if it were routine.
           
        2. Plans, with the assistance of the Manager of Administrative Services, the filing systems needed for general management purposes and develops a knowledge of the general filing system to facilitate the procurement of requested data, reports and files.  Periodically reviews files to purge out-of-date information and inactive programs.  
          Reviews periodically, all activities related to position and recommends to the Manager of Administrative Services any work scheduling changes necessary to accomplish the objectives and duties he/she is responsible for.
           
        1. Keeps informed of regular, special and other meetings of the Board of Directors. Prepares required notices, reports and other information and develops and maintains minutes of meetings of the Board to assure comprehensive, official records of the proceedings.
           
        2. Prepares drafts of Board agendas and coordinates schedules and presentations of board policy reviews and other reports to the Board of Directors to be presented by the CEO and other designated staff members.
           
        1. Prepares required agendas, notices, reports, and other information and develops and maintains minutes of the Annual Meeting of members to assure comprehensive, official records of the proceedings.
           
        2. Prepares and distributes agendas, notices and other required paperwork for CEO on TEC committees, boards and other meetings.
           
        3. Develops, arranges and maintains schedules for training, travel, accommodations, registrations and per diems for staff and Board of Directors to assure effective coordination, communication and adequate and timely arrangements for attendance to such meetings.
           
        4. Acts as Wellness Coordinator for the Cooperative. 
           
        5. Responsible for the planning and implementation of the Cooperative’s Employee Service Awards Program.
           
        6. Assists the Manager of Administrative Services in providing and preparing group benefit information to employees during open enrollment and year-round.  Includes distributing Summaries of Benefits Coverage (SBCs), Summary Plan Descriptions (SPDs), Summaries of Material Modifications (SMMs), processing pension loans, open enrollment paperwork, life event changes, etc., and prepares reports for required distributions.
           
        7. Assists the Manager of Administrative Services in assisting employees with benefit questions and required actions during the year.
           
        8. Records confidential payroll changes in both manual and electronic personnel files.
           
        9. Reviews own credit card bill and submits to Accountant.
        10. Maintains Management files including, but not limited to, Contractor files, Certificates of Insurance, FCC Licenses, Employee Information and Subscriptions to newsletters and magazines.
        11. Works with Administrative Coordinator to order and prepare everything needed for employee retirement parties.
        12. Receives telephone calls and visitors in the absence of the CEO and Manager of Human Resources.
        13. Orders and keeps ample quantity of office supplies on hand for the headquarters’ office.
        14. Obtains Driving Records and performs OSHA related duties assigned to the Administrative Services Department.

guidance, to keep informed of major developments, to obtain necessary approvals, to report information related to job or Cooperative, and to receive instructions and special training.

Department Managers and Supervisory Personnel – To obtain information, guidance and necessary approvals and to keep them informed of any new developments; to obtain services in preparing drafts of reports, forms and other required data and to obtain assistance in connection with filing system and records.

  1. Members – To maintain courteous and cooperative relationship which
          creates goodwill and promotes a better understanding and acceptance of
          the Cooperative.
     
  2. General Public – To maintain courteous and cooperative relationships

  1. QUALIFICATIONS
    1. Education – Must possess a High School Diploma/GED.
       
    2. Training and Experience - An Associates Degree in Business, Office Administration, Accounting or three plus years’ experience in related field preferred.  Must be able to interact well with employees, directors, members and general public, and be proficient in Microsoft Office, specifically Outlook and Excel.  Maintain training to know and recognize cybersecurity/email fraud, as well as other types of fraud and related methods of deceit to avoid these types of financial attacks.  Confidentiality is a must.
       
    3. Knowledge of Cooperative – Requires the understanding, and acceptance of basic philosophy of cooperative type operations, and a general knowledge of the history, purpose, objectives and goals of Lamb County Electric Cooperative.
       
    4. Physical Requirements – May be required to pass a rigid physical medical examination.  May be required to undergo periodic check-ups.
       
    5. Physical Factors and Working Conditions – Work carried on inside well
      heated, cooled, ventilated, and lighted building.  Must be willing and able to respond to duty calls any hour of any day or night during emergency outages.
       
    1. Driver’s License Requirements -  Must possess and maintain a valid and current Texas driver’s license.
