MEMBER SERVICES COORDINATOR

A Member Service Coordinator must be ready and able to address inquiries and concerns from members relating to billing, payments, delinquencies, terminations, memberships and Capital Credits as they arise.  This person must have a strong sense of professionalism and discretion.  The position requires strong communications, decision-making and telephone etiquette skills.  Must possess outstanding customer service skills and ability to work within a team environment.  Job involves extensive phone and computer work and requires ability to hear and speak.   The Member Service Coordinator will be required to develop a comprehensive understanding of the Coop’s policies and procedures and know when issues need to be escalated to the management for resolution.

  Requires a high school diploma and must be proficient in Microsoft Office Suite and must be able to use a 10-key adding machine by touch.  Performs a variety of tasks.  Works under general supervision.  Reports to Manager of Office Services.

JOB DUTIES

  1. POST PAYMENTS

         Posts member payments received daily, balances cash drawer and prepares deposit for bank.

  1. TEAMWORK

         Work as a team with other Coop Employees to resolve member issues as they arise.  Work with other departments to ensure that all member-related tasks are completed to Coop standards and always keep the members needs in mind.

  1. CUSTOMER SERVICE

 Possess great customer service skills to assist members with payments, outages, and other services needed.  Answer phone and radio calls and maintain a calm demeanor when communicating with displeased members.  Must be knowledgeable about Coop policies and procedures to know when members need to be passed on to management.

  1. SERVICE ORDERS

        Create and close service orders as needed, providing as much information as possible in the service order to make sure
       
all work can be completed accurately.

     5. CAPITAL CREDITS

Process allocations, estates, retirements and re-issues checks as necessary.

  1. MISCELLANEOUS

          Perform any other duties as required.

POSITION DESCRIPTION

I.             Objective:

           A.  To provide efficient service in cleaning and maintaining the office building, grounds, porches, and 
                
all yard areas.

II.            Reporting Relations:

             A.   Reports to Manager of Administrative Services

III.          Responsibilities and Authorities:

  1. Responsible cleaning and maintaining all floors.

  2. Responsible for dusting and washing walls, windowsills, air vents windows, window coverings, and ceiling lights.

  3. Responsible for dusting and polishing furniture and fixtures.

  4. Responsible for maintaining break rooms, kitchen areas, and the Willie Room, and keeping them clean and orderly at all times.

  5. Responsible for maintaining and cleaning all restrooms and keeping them fresh and disinfected all times

  6. Responsible for keeping all trash emptied.

  7. Responsible for seeing that all office doors are locked and that designated lights are left burning with all other lights turned off.

  8. Responsible for servicing all vending machines, soda machines, and coffee areas.

  9. Responsible for keeping sufficient supplies on hand to meet work requirements, including appropriate M.S.D.S. sheets.

  10. Responsible for keeping shelves in storerooms, basement, workrooms, and the vault stocked at all times.

  11. May assist in the pickup/delivering of supplies or materials.  May be responsible for bank and mail runs.

  12. Responsible for the keeping of accurate records of materials and supplies, including (inventory, vendor contacts, prices, etc.).

  13. Responsible for keeping all lamps changed out in ceiling fixtures.

  14. Responsible for the flags and flagpole maintenance, including raising and/or lowering flags daily.

  15. Due to the fact that we are an electrical utility it may become necessary to work overtime, or be called out after hours and be under some other person’s supervision.

  16. Responsible for performing such other duties of a comparable nature as may from time to time be assigned.

IV.          Relationships:

     A.     Internal:

  1. Manager of Administrative Services - To review programs and problems concerning building maintenance; along with a work schedule that provides for maximum efficiency.

  2. Maintains with other employees a congenial spirit of cooperation.

     B.     External:

  1. Toward creating goodwill and improving the cooperative's image with the membership, and the general public; the incumbent will extend a spirit of cooperation and display a courteous, friendly, yet impersonal attitude.

V.            Qualifications:    

     A.     Education:

  1. High School education or the equivalent is required, requires ability to speak, read, write and follow oral and written instruction; and make simple arithmetic calculations.

     B.     Training and Experience:

  1. Janitorial experience is desirable but not essential.

  2. Required willingness to learn and to perform routine and repetitive tasks essential.

  3. Employee can reach adequate productivity with brief on-the-job training.

     C.     Physical Requirements:

  1. Required to pass an entrance physical-medical examination and drug/alcohol screening.

     D.     Physical Demands:

  1. Job may necessitate the occasional lifting and carrying heavy objects up to and including 75-100 pounds.  Standing and walking short distances most of the workday.  Some pulling, pushing, stooping, kneeling, climbing and reaching will be required.

  2. Works in clean, well-lighted, heated and ventilated work areas.
